JOB PURPOSE
The Senior Coordinator, DG Office provides high-level administrative, analytical, and coordination support to the Director General and ensures the smooth functioning of the DG Office. The role manages communications, prepares briefing materials, coordinates cross-department activities, supports strategic initiatives, and ensures timely follow-up on key actions. The Senior Coordinator acts as a central liaison point, ensuring accuracy, professionalism, and confidentiality in all interactions.
ROLES AND RESPONSIBLITIES
Key Accountabilities
- Manage the DG’s schedule, meetings, and engagements; ensure timely preparation of agendas, documents, and briefing notes.
- Coordinate communication and information flow between the DG and AMF departments.
- Track and follow up on action items assigned by the DG to ensure timely completion.
- Prepare reports, summaries, memos, presentations, and official correspondence for the DG.
- Ensure accuracy, completeness, and quality of documents before submission or circulation.
- Maintain organized records, files, and archives for the DG Office.
- Support implementation of strategic initiatives, special projects, and institutional priorities.
- Assist in preparing materials for Board, Committee, and high-level meetings.
- Conduct background research and compile information required for DG briefings.
- Organize internal and external meetings, conferences, and official visits involving the DG.
- Coordinate logistics, participants, agenda items, and post-meeting documentation.
- Prepare minutes of meetings and distribute follow-up action plans when required.
- Serve as a key point of contact for internal and external stakeholders interacting with the DG Office.
- Handle protocol arrangements for high-level delegations, member-state representatives, and partners.
- Ensure all communications reflect AMF’s standards and maintain confidentiality at all times.
- Ensure DG Office workflows follow AMF policies, procedures, and quality standards.
- Recommend improvements to office processes and administrative systems.
- Maintain up-to-date dashboards, tracking tools, and performance indicators related to DG Office activities.
JOB QUALIFICATIONS AND REQUIREMENTS
Knowledge and Experience:
- Minimum of 3-4 years of experience in executive coordination, office management, or high-level administrative support.
- Experience working with senior leadership or executive offices in government, financial institutions, or international organizations.
- Strong skills in communication, documentation quality, scheduling, and multi-stakeholder coordination.
- Ability to manage confidential information with discretion and professionalism.
Education:
- Bachelor’s degree in Business Administration, Public Administration, Management, or related field.
- Master’s degree is an advantage.
Certifications:
- Preferred: Executive Assistant, Project Management (PMI/PRINCE2), or Business Communications certifications.
